2. Information We Collect
We collect information in the course of providing our service:
From Facility Operators (Our Customers):
- Account information: name, email, phone number, business name, and billing details
- Facility data: unit sizes, pricing, hours, policies, and other operational information you provide during onboarding
- Payment information: processed securely through Stripe — we do not store credit card numbers
From Callers (Your Customers):
- Phone number (provided automatically via caller ID)
- Call recordings and transcripts of conversations with our AI agent
- Information shared during the call: name, storage needs, tour preferences
- SMS messages sent as part of tour confirmations or follow-ups
Automatically Collected:
- Dashboard usage data: login times, pages viewed, feature usage
- Device and browser information when accessing our dashboard
3. How We Use Your Information
We use collected information to:
- Provide and operate the AI phone answering service
- Generate call transcripts, analytics, and insights for facility operators
- Send SMS notifications to facility managers about tour bookings and callbacks
- Process subscription payments through Stripe
- Improve our AI agent's accuracy and conversational quality
- Communicate with you about your account, service updates, and support
- Comply with legal obligations
4. How We Share Information
We do not sell your personal information. We share data only with:
- Twilio — telephony and SMS delivery
- ElevenLabs — voice AI processing for phone calls
- Anthropic (Claude) — AI-powered call analysis and conversation
- Stripe — payment processing
- Supabase — database hosting and authentication
- Vercel / Railway — application hosting
Each provider processes data according to their own privacy policies and our data processing agreements. We do not share caller data with any third parties for marketing purposes. See our Data Processing Addendum for the full sub-processor list and our processor commitments.
5. Data Retention
We retain data according to the following schedule:
- Call transcripts: 90 days, then automatically deleted
- Call records: 1 year
- Audit logs: 2 years
- Account data: retained while your subscription is active, deleted within 30 days of account closure upon request
Facility operators can request early deletion of specific records by contacting us.
6. Data Security
We protect your data with:
- Encryption of phone numbers at rest in our database
- PII masking in application logs
- HTTPS encryption for all data in transit
- Role-based access control on our dashboard
- Row-level security (RLS) ensuring facilities only see their own data
- Twilio signature validation on all incoming webhooks
- Rate limiting on API endpoints
7. Call Recording Disclosure
Our AI agent records and transcribes calls for quality assurance, transcript generation, and product improvement. Every agent's greeting includes a recording disclosure at the start of the call. Federal law and most US states follow one-party consent — facility operators consent to recording when they enable the service. A subset of states require all-party consent: California, Connecticut, Delaware, Florida, Illinois, Maryland, Massachusetts, Michigan, Montana, Nevada, New Hampshire, Oregon, Pennsylvania, and Washington. Because the greeting announces the recording before the conversation begins, callers in two-party states are on notice the moment the call connects.
Facility operators are responsible for complying with the recording-consent laws that apply to their location and to inbound callers' locations. We publish operator-facing guidance at Recording Consent Guidance. The recording disclosure lives in a locked section of the agent prompt that automated optimization is not permitted to remove.
If a caller asks not to be recorded, the agent acknowledges the request, escalates to a human, and notes the request in the call log.
8. SMS Communications
We send transactional SMS messages to facility operators when callers book tours or request callbacks. These messages are not marketing — they are service notifications triggered by inbound phone calls. Recipients can reply STOP at any time to opt out of SMS notifications.
9. Your Rights
You have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Opt out of SMS notifications
- Export your call data from the dashboard
- Opt out of the sale or sharing of your personal information (we do not sell or share — see Do Not Sell or Share My Personal Information)
To exercise any of these rights, contact us at privacy@attendantai.net. We will respond within 15 business days and complete most requests within 45 days. We will not deny service or change pricing as a result of you exercising any of these rights.
10. Cookies and Tracking
Our marketing site uses a single localStorage entry (aa_cookie_consent) to remember that you have dismissed our cookie notice. We do not use advertising cookies, analytics trackers, or third-party tag managers.
The marketing site loads the Inter typeface from Google Fonts and the live demo widget from ElevenLabs; these requests reach third-party servers but do not, in our configuration, set tracking cookies. The dashboard uses essential cookies for authentication (session management via Supabase Auth) and a local storage entry for theme preference.
You can clear our cookie-consent entry at any time by clearing your browser's site data for this domain. The banner will reappear on your next visit.
11. Children's Privacy
Our service is designed for business use and is not directed at individuals under 18. We do not knowingly collect information from children.
12. Changes to This Policy
We may update this privacy policy from time to time. We will notify active subscribers by email of material changes. The "last updated" date at the top reflects the most recent revision.
